By ensuring that customers have a detailed record of what they've paid for, you minimize the risk of misunderstandings and improve overall satisfaction. When using your POS system, there are various tools available to help you efficiently manage invoices and receipts. Let's take a closer look at how you can utilize these features while on the move.
Exploring the Invoice Section
In the Invoice section of your app, you’ll find a comprehensive overview of your financial transactions:
Paid Invoices: Displays the total earnings received.
Due & Overdue Invoices: Shows the earnings that are yet to be received.
Invoice Filters: Allows you to filter invoices by type—Invoices, Templates, and Recurring.
Search and Filters: Use the search bar to locate a specific invoice or apply filters to narrow down results by status, type, or date.
Create New Invoices: Start by clicking the Plus sign button.
Converting Sales to Invoices
If you’ve registered a sale through the POS, converting it to an invoice is straightforward:
Convert to Invoice: Select the sale in Payment Instruments and choose Convert to Invoice.
Add Customer Information: Click the trash can icon to remove the automated contact, then click the Plus sign button to select a customer from your contact list.
Set Due Date: Add a due date for your invoice and click Next.
Add Terms and Notes: Include any terms and notes necessary for the transaction, then click Next.
Review and Send: Review the invoice before sending it. You can also add discounts at this stage by selecting the option.
Viewing Paid Invoices and Receipts
To efficiently manage your transactions:
Link Contacts to Transactions: Ensure that a contact is linked to each transaction. This way, once the transaction is completed, you can easily access the related invoice and receipt.
Access Transaction Details: Go to the Transactions view inside the POS and click on the performed transaction to see more details.
View Breakdown: This option provides an itemized invoice for the transaction, which you can download as a PDF to send to your customers.
Download Receipt: Download a PDF version of the receipt generated according to your system settings. The app also offers quick share options.
Now you can efficiently view and manage your invoices and receipts directly from your mobile device, ensuring smooth and professional transactions every time.
