Overdue Opportunities (Trigger)

Modified on Tue, 27 Aug at 8:23 PM

To PUBLISH workflows, it’s necessary to set both a trigger and an action. Without completing both steps, you’ll only have the option to save the workflow, but not publish it.

The Aging Opportunities trigger is designed to activate for opportunities that have not been acted upon for a defined period. Users can adjust the timeframe that qualifies an opportunity as “aging” and specify the actions that should follow.

When no filters are applied, the workflow will automatically trigger for all opportunities in the "open" stage within any pipeline.

It’s important to note that once triggered, the workflow runs daily at 8:00 am.

To begin, click on "Add New Workflow Trigger" and select "Aging Opportunities." Trigger Example

Applying Filters

To refine your trigger conditions, you can click "Add Filters." The available standard filters include No Tag, Days of Duration, Has Tag, and Within Pipeline.

Days of Duration

The "Days of Duration" filter identifies and triggers workflows specifically for opportunities that have been inactive beyond the set timeframe, marking them as aging.

Duration Example

Within Pipeline

The "Within Pipeline" filter allows you to automate workflows when an opportunity in a specific pipeline exceeds its set timeframe and becomes marked as aging. However, this filter only activates for opportunities within the "Open" pipeline stage, not for those in "Won," "Lost," or "Abandoned" stages.

Pipeline Example

Has Tag

Using the "Has Tag" filter, the workflow will only trigger when an opportunity in the "Open" status of a pipeline has a specific tag and exceeds its designated timeframe.

For example, within a Sales pipeline, if an opportunity is tagged with "20% Discount Voucher" and has a timeframe set for 2 days, the workflow will only trigger if the opportunity exceeds 2 days without updates.

Tag Example

No Tag

The "No Tag" filter triggers the workflow only when an opportunity in the "Open" status of a pipeline exceeds its set timeframe and lacks a specific tag.

For instance, in a "15% Black Friday Discount" pipeline, if an opportunity does not have a "Member-Exclusive Reward" tag and its timeframe is set for 3 days, the workflow will activate only if the opportunity goes beyond 3 days without updates.
